This recruitment site is operated by Grover Group GmbH (“Grover”, “we”, “our” or “us”). The Grover entity advertising the position for which you apply is responsible for the processing of your Personal Data in connection with that application. Scope of this Privacy Notice

This Privacy Notice applies to all personal data provided to us in your job application, any subsequent information supplied by you in connection with your application and any information obtained about you through other sources.


We process Personal Data for the purposes described in this Privacy Notice, including managing your application and recruitment process and, where applicable, considering or contacting you about future employment opportunities. Personal Data will only be processed to the extent necessary for the relevant purposes and in accordance with applicable data protection law.



How do we obtain your personal data?

We may obtain Personal Data:

  • directly from you, including through your application, CV, interviews and communications with us;

  • from recruitment agencies, recruiters, referrals or professional references;

  • from publicly available professional sources, such as LinkedIn;

  • through recruitment systems and service providers used in the application process; and

  • from information generated during the recruitment process, such as interview notes and assessments.


We may process the following categories of Personal Data during recruitment:

  • identification and contact information, such as your name, email address, telephone number and address;

  • information contained in your CV, application and supporting documents;

  • education, qualifications, skills and professional experience;

  • employment history and other professional information;

  • salary expectations and availability;

  • interview notes, recruiter and hiring manager assessments and, where applicable, evaluation scores;

  • information obtained from professional references or publicly available professional sources; and

  • other information you choose to provide during the recruitment process.



For what purposes do we process your Personal Data?

We process your Personal Data where necessary to:

  • manage and assess your application;

  • communicate with you about your application;

  • organise and conduct interviews and other stages of the recruitment process;

  • assess your suitability for the position;

  • make recruitment and hiring decisions;

  • maintain appropriate recruitment records;

  • establish, exercise or defend legal claims and comply with applicable legal obligations; and

  • where applicable, consider or contact you about future employment opportunities.




We process Personal Data that is necessary to take steps at your request before entering into an employment contract in accordance with Article 6(1)(b) GDPR.


Where applicable, we also process applicant Personal Data on the basis of national employment laws. For applicants in Germany, this includes Section 26(1) BDSG where the processing is necessary for a decision regarding the establishment of an employment relationship.


We may also process Personal Data where necessary for our legitimate interests or the legitimate interests of a third party, including the proper administration of our recruitment processes and the establishment, exercise or defence of legal claims, provided that those interests are not overridden by your interests, rights or freedoms.


Where processing is required to comply with a legal obligation, the relevant legal basis is Article 6(1)(c) GDPR.


Where you choose to allow us to retain your Personal Data for consideration for future employment opportunities after the conclusion of your current application, we process your Personal Data for this purpose on the basis of your consent in accordance with Article 6(1)(a) GDPR. Providing this consent is voluntary and has no effect on your current application. You may withdraw your consent at any time with effect for the future.


Is providing your Personal Data required?

Certain information is necessary for us to assess and process your application. If you do not provide information that is necessary for the recruitment process, we may be unable to progress your application. Information identified as optional is provided voluntarily.


Use of AI-assisted tools


Grover may use AI-assisted tools to support certain recruitment activities, for example to transcribe interviews, generate interview notes or summaries, and assist with other administrative recruitment tasks.


These tools support our recruiters and hiring managers and do not replace human decision-making.


Grover does not make hiring decisions based solely on automated processing that produces legal effects concerning an applicant or similarly significantly affects an applicant within the meaning of Article 22 GDPR.


Where AI-assisted tools process applicant Personal Data, their use is subject to Grover’s applicable data protection and AI governance requirements.



Who has access to your Personal Data?

Within Grover, access to applicant Personal Data is limited to authorised personnel who require access for the recruitment process, including members of the People/Recruiting team, relevant hiring managers and, where necessary, other authorised functions.


We also use service providers that support our recruitment activities, such as applicant tracking, recruitment, communications, productivity and technology service providers. Where these providers process Personal Data on our behalf, they are subject to appropriate contractual and data protection requirements.


We may also disclose Personal Data where necessary to professional advisers, public authorities or other recipients where required or permitted by law.



International transfers


Some of our service providers may process Personal Data outside the European Union or European Economic Area.


Where Personal Data is transferred to a country outside the EU or EEA, Grover ensures that the transfer is made in accordance with applicable data protection law. Depending on the circumstances, this may include relying on an adequacy decision adopted by the European Commission or implementing appropriate safeguards, such as the European Commission’s Standard Contractual Clauses.


Where required, Grover also assesses the circumstances of the transfer and implements supplementary safeguards appropriate to the risks involved.

For how long do we keep your Personal Data?


If your application is unsuccessful, we generally retain your application and related recruitment information for six months following completion of the relevant recruitment process, unless a longer retention period is required or permitted by applicable law or is necessary for the establishment, exercise or defence of legal claims.



If you become employed by Grover, relevant information collected during the recruitment process may become part of your personnel records and will be retained in accordance with Grover’s applicable employee-data retention requirements.



If you consent to Grover retaining your Personal Data for consideration for future employment opportunities, we may retain your application data for up to 720 days (approximately 24 months) after the conclusion of consideration of your current application. If you withdraw your consent before the end of this period, we will no longer retain your Personal Data for this purpose, unless continued retention is required or permitted on another legal basis.



What are your rights?

Subject to the conditions provided by applicable data protection law, you may have the right to:

  • access your Personal Data;

  • request correction of inaccurate or incomplete Personal Data;

  • request deletion of your Personal Data;

  • request restriction of processing;

  • object to certain processing based on legitimate interests;

  • receive Personal Data you have provided to us in a structured, commonly used and machine-readable format where the right to data portability applies; and

  • withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal.

You also have the right to lodge a complaint with a competent data protection supervisory authority if you believe that the processing of your Personal Data infringes applicable data protection law. In particular, you may contact the supervisory authority in the EU Member State of your habitual residence, place of work or place of the alleged infringement.

Changes to this Privacy Notice

We may update this Privacy Notice from time to time to reflect changes in our recruitment processes, technology, legal requirements or other relevant circumstances. The date of the most recent update is shown at the beginning of this Privacy Notice.
