This recruitment site is operated by Grover Group GmbH (hereinafter referred to as “Grover”, “we”, “our”, or “us”).

Scope of this Privacy Notice

This Privacy Notice applies to all personal data provided to us in your job application, any subsequent information supplied by you in connection with your application and any information obtained about you through other sources.


We will process such personal data only for the purposes of the recruitment process. Your application and personal data included therein will only be processed by the Grover which is involved in the recruitment process and only to the extent strictly necessary for that process.



How do we obtain your personal data?

We obtain your personal data from the following sources:


  • Provided by you as an applicant, in the legal relationship you have established with Grover

  • Provided by publicly accessible sources (e.g. your Linked-In profile)

  • Related to the management itself, maintenance and development of the relationship established.


We process the following categories of personal data in the recruitment process: 


  • Identifying data; full name, email address

  • Personal characteristics data

  • Social circumstances data

  • Academic and professional background

  • Qualifications and skills

  • Salary expectations

  • Employment details.



For what purposes do we process your personal data?

Grover processes your personal data to achieve the purposes detailed below:


  • to decide on the acceptance of your application in the recruitment processes managed by Grover 

  • where appropriate, to manage the recruitment processes carried out during the retention period and, potentially, 

  • to contact you about a position.



What is the legitimacy of Grover for the processing of your personal data?

The legal basis for the processing of your personal data is sec. 26 para 1 sentence 1 German Federal Data Protection Act (in German, BDSG) which allows the processing of personal data if this is necessary for the decision on the establishment of an employment relationship. Without processing your personal data, we cannot process your application and decide on the establishment of an employment relationship. We do not use neither automated decision-making tools nor profiling during the recruitment process.


If you provide us with additional information that is not necessary for our decision on the establishment of an employment relationship without our initial request, we will process your personal data to pursue legitimate interests in order to get a full picture of your application (Art. 6 para. 1 sentence 1 lit. f) GDPR).



Who has access to your data?

Only Grover recruiters (and relevant managers) will have access to your personal data. 


Furthermore, Grover uses third parties for recruitment-related services (if applicable, Gem, SalesQL and Greenhouse). For any third party that we use, we will confirm that they sufficiently guarantee compliance with applicable data protection laws. We will require that any third party complies with our data security and international data transfer policies.


Grover, if necessary, will share your personal data with third parties who act as data controllers for the above-mentioned purposes and in accordance with the data protection laws, including:


  • HR services providers

  • Insurance providers and brokers

  • Governmental organizations or agencies, including law enforcement

  • External advisors (such as legal advisors, accountants)

  • Employee benefits providers



For how long do we keep your data?

Grover will keep your personal data for the foreseen processing activities during a period of 6 (six) months, after which they will be destroyed, ensuring you a total respect of the confidentiality of your data, both in the processing and in the subsequent destruction. We may retain your data for a longer period of time where necessary to comply with our legal obligations or where we have other legitimate interests or grounds for doing so (for example, to respond to ongoing requests or claims made by candidates).


Once this period has elapsed, if you wish to continue participating in our recruitment processes, please send us your resume and application again.



What are your rights?

We want to ensure that your personal data is accurate and up to date. If any of the information that you have provided to us changes, you will be able to amend, update and correct the information you have provided to us by contacting us directly at “[email protected]” (Art. 16 GDPR).


You have the right to access your personal data and obtain a copy of your personal data in a commonly used format (Art. 15 GDPR) or request the transfer of your personal data to you or to a third party (Art. 20 GDPR) and, in certain circumstances, to ask us to stop (Art. 21 GDPR) or restrict processing (Art. 18 GDPR) or erase your personal data (Art. 17 GDPR). If you would like to exercise any of your rights, you can do so by contacting us by email at “[email protected]”.


You have the right to lodge a complaint with the relevant data protection supervisory authority in relation to our compliance with applicable European Union data protection laws (Art. 77 GDPR). This will generally be the supervisory authority in the EU country in which you usually live, work or where you consider that an alleged infringement of the GDPR has occurred. However, in the first instance, we kindly ask you to submit your complaint to our Data Protection Officer ([email protected]).
